Privacy notice

This notice explains what BuildInterview collects, why it is processed, where it is shared, and the choices available to company users and candidates.

Who is responsible for the data

BuildInterview is provided by AI Driven Technologies Private Limited. For company account, billing, security, and service operations data, BuildInterview acts as the organization responsible for that processing.

For candidate assessment data, the hiring company normally decides why the interview is conducted and how the result is used. The hiring company is the primary decision maker for that data. BuildInterview processes it to deliver the interview, preserve evidence, and return the result to the authorized hiring team.

Data we process

  • Company account details, organization profile, team membership, roles, and access logs.
  • Candidate name, email address, invitation, attempt state, answers, code, files, and submitted work.
  • AI prompts, responses, selected model, attached context, and token usage during an AI-enabled phase.
  • Screen recording, camera video, microphone audio, consent, system checks, and disclosed monitoring events when a monitored interview is required.
  • Technical and security data such as request identifiers, timestamps, device and browser capability results, delivery status, and audit events.

BuildInterview does not ask candidates to provide medical details. Accommodation requests should be sent to the hiring company using the contact in the invitation.

Why we process data

  • To authenticate users, manage organizations, and prevent unauthorized access.
  • To deliver, time, save, execute, submit, and evaluate an assigned interview.
  • To provide the hiring company with an evidence-backed result and the recordings it requested.
  • To deliver transactional email, investigate technical incidents, prevent abuse, and maintain audit records.
  • To meet contractual, legal, security, and record-keeping obligations.

Automated evaluation and hiring decisions

BuildInterview can use automated checks and configured AI models to evaluate submitted work. The result includes evidence and an explanation for the hiring company. Monitoring events are kept separate from the quality score and no single monitoring event proves misconduct.

The hiring company remains responsible for its employment decision. Candidates can ask the hiring company to review an assessment result, a monitoring event, or an accommodation issue.

Service providers and international processing

BuildInterview uses specialist infrastructure, execution, email, security, and AI service providers. The current categories and purposes are listed on the subprocessors page. Data may be processed in a country different from the user's location, subject to the customer agreement and safeguards available for the relevant service.

Retention and deletion

The hiring company selects the evidence-retention period for its workspace. Candidate answers, AI activity, recordings, and related evidence are scheduled for deletion when that period ends, unless a legal hold or another documented obligation requires a limited delay. Security and commercial records may use a different period where they are needed for fraud, audit, tax, dispute, or legal purposes.

Choices and requests

Depending on the applicable law and the role of the requester, a person may ask for access, correction, deletion, restriction, objection, portability, or review of an automated result. Candidate requests about an employer's assessment should first be sent to that hiring company. BuildInterview will support verified customer requests and will not disclose data without confirming the requester's authority.

Security and updates

BuildInterview uses tenant isolation, encryption, least-privilege service identities, private object storage, audit trails, and isolated code execution. No internet service can guarantee absolute security. Material changes to this notice will be dated here and, where appropriate, communicated to affected customers.
